Survitec is currently seeking an Operations Assistant on a fixed term basis for a maximum period of 12 months to be responsible for the successful management of the service process from notification through to invoicing and all other associated duties in providing a high level of service to the customers.

Role Responsibilities:

  • Administer the service work from notification of receipt through to invoicing the client
  • To ensure the IFS system is maintained and invoices generated as required
  • Use and maintain all CRM details as required
  • Monitor and manage the offshore calendar regards personnel, lifejackets and spares (if applicable to your site)
  • To liaise with clients to provide information relating to the status of their service work
  • Liaise on a daily basis and communicate and plan the service work with the Operation Manager
  • Inputting of Work Orders
  • Inputting of services schedules/trip reports once the servicing has been carried out and advise client
  • Arranging delivery of servicing
  • Quoting customers and confirming purchase orders
  • Setting up of service reminders next year service in IFS and email or send letter to client
  • Sending certificates promptly out to customers
  • Deal with credit control disputes for servicing
  • General administration, filing, completing documentation and answering telephones.
  • Update liferaft information on CSAM
  • Print despatch notes and complete transfers on CSAM
  • Assist with stock takes
  • Assist in monitoring stock levels for all forthcoming work
  • Provide support to others within the administrative team in times of absence and increased workload.

Skills, Qualifications & Experience:

  • Be able to demonstrate previous relevant work experience within a similar role, in areas such as direct sales, and/or co-ordination of the sales process
  • Have an understanding of the importance of providing a high-level customer service, and the ability to provide such a service
  • Experience/knowledge of the marine industry and its related products is advantageous, although this is not essential
  • Have a good degree of proficiency in Microsoft Office packages
  • Preferably have experience in using IFS or similar CRM system
